This complex list of activities is also known as the “Work Breakdown Structure” in project planning. It uses a mathematically based algorithm to calculate a network model known as the “critical path” to help a project manager determine the following: How much time a project will require taking into account all the dependencies of the activities. The Critical Path Method was developed by Du Pont in the s and is now considered one of the most widely used technique in project planning and scheduling. Note: A constraint such as not being able to start a task until a certain time of day could cause what would have been a critical task to have some slack time because of having to wait for a certain time of day to start the next task. This spreadsheet does not allow you to enter those types of constraints, so for the purposes of the spreadsheet, a critical task is simply defined as a task with zero slack time.

What I am calling the PERT algorithm is the logical and mathematical means for calculating the minimum time to complete a project, based on the Program Evaluation and Review Technique developed in the s by the US Navy. This lets you account for some uncertainty in your estimates. You can just enter the Most Likely times if you don’t want to account for uncertainty. O-M-P helps calculate the expected duration for each task, and those expected durations are used to calculate the expected Minimum Time to Complete but not the overall uncertainy.

A predecessor is a task that must be completed before its successor task can start, without any other tasks in between. Successor tasks come immediately “after,” and predecessor tasks come immediately “before. For example, if you need to build a prototype before you test it, then “Build Prototype” is the predecessor of “Test Prototype. Task dependencies can actually be much more complex than that, such as Task B needing to start 4 days before Task A ends. Using the Team Planner Feature Another way to assign resources and reduce overallocations is by using the Team Planner feature. Assume you have two people assigned to work on a project, Brian and Cindy, as shown in Figure A Notice that Brian is assigned to work on both Task 1 and Task 2 full-time the first week.

Therefore, Brian is overallocated. Cindy is scheduled to work on Task 3 full-time the second week, and Task 4, also scheduled for the second week, is not assigned yet. Overallocated resource You can click on the Team Planner view under the View tab to see a screen similar to the top section of Figure A Notice that Brian has both Tasks 1 and 2 assigned to him at the same time.

Cindy is assigned Task 3 the following week, and Task 4 is unassigned. Many people will appreciate the simplicity of this feature, first introduced in Project ! Adjusting resource assignments using the Team Planner feature Entering Baseline Plans, Actual Costs, and Actual Times After entering information in the Task Name column, establishing task durations and dependencies, and assigning costs and resources, you are ready to establish a baseline plan.

After the project ends, you can use the baseline and actual information to plan similar, future projects more accurately. To use Project to help control projects and view earned value information, you must establish a baseline plan, enter actual costs, and enter actual durations. In the next series of steps you will use a new file called tracking. To save a file as a baseline and enter actual information: 1.
